Document Control Coordinator
An exciting opportunity has arisen to join our team as Document Control Coordinator working at our Reading office.
Salary: £32,000-£35,000 + Benefits
About the role
As the Document Control Coordinator, you will be responsible for ensuring the smooth flow of documentation and administrative support across the project lifecycle—from pre-award to project handover.
You'll coordinate the production of key planning and quality deliverables, including the six-week lookahead schedules and Lifetime Quality Records (LTQRs), working closely with Construction Managers and other stakeholders to maintain quality, consistency, and compliance.
Role responsibilities
Document Control & Workflow Management
- Manage and maintain document workflows from quotation to contract award, ensuring accuracy, completeness, and version control.
- Update and monitor document trackers, flagging outstanding actions and ensuring timely closure.
- Ensure all project documentation complies with company and client-specific requirements.
- Maintain an organised and auditable document filing system (digital and/or physical).
Planning Support
- Develop and distribute a detailed six-week lookahead schedule using Microsoft Excel, incorporating inputs from multiple project team members.
- Support project teams in ensuring planned activities are visible, tracked, and communicated effectively.
Quality Support & Close-Out
- Assist in the preparation and collation of the Lifetime Quality Record (LTQR) pack at project completion.
- Cross-reference quality documentation against Inspection and Test Plans (ITPs) to verify compliance and completeness.
- Work with the Construction Manager to ensure all required verification documents are compiled accurately and submitted in a timely manner.
About you
Essential Skills & Qualifications:
- Proven experience in an administrative, document control, or project support role.
- Proficient in Microsoft Excel and other MS Office tools.
- Excellent organisational and communication skills.
- Experience maintaining trackers and managing workflow documentation.
- Able to work independently and manage competing priorities.
Desirable:
- Experience working in a construction, engineering, or infrastructure environment.
- Familiarity with Inspection and Test Plans (ITPs) and compiling QA/QC or handover documentation.
- Understanding of ISO 9001 or other quality standards is an advantage.
- Knowledge of document control software or platforms (e.g., Aconex, SharePoint, Viewpoint, etc.).
